Scope

The data protection declaration informs the users about the type, scope and purpose of the collection and use of the personal data in connection with the domain www.bildungsberatung-gfh.de (hereinafter referred to as the “website”). The responsible website operator is the Federal Association for Catholic Youth Social Work (BAG KJSe.v.), Carl-Mosterts-Platz 1 in 40477 Düsseldorf (hereinafter referred to as the “operator”).

The legal principles for data protection are set out in the German Federal Data Protection Act (BDSG) and the German Telemedia Act (TMG).

In addition, amendments to the data protection declaration may become necessary within the scope of the further development of the website and the improvement of the services. We therefore recommend the users to read this data protection declaration from time to time.

Handling personal data

Personal details defined as information enabling the identification of a person; i.e. data which can be traced back to a person. This includes the name, email address or phone number, as well as data on the educational background, marital status and memberships of a person or which websites were visited by a person.

Personal data is only collected, used and forwarded to the extent permitted by law or when the users expressly agree to this.

Access date / Server logfiles

The operator (or its webspace provider) collects data on every access to the website (i.e. so-called server logfiles). The access data includes:

The name of the accessed website or downloaded file, the date and time of the access, the data volume transferred, the notification of successful request, the type and version of the browser, the operating system of the user, the referrer URL (of the previously visited website), the IP address and the requesting provider.

The log data is used by the operator solely for statistical evaluations for the purpose of the operation, protection and optimisation of the website. The operator, however, reserves the right to review the log data retroactively where there is the justified suspicion of unlawful use due to concrete evidence.

First contact, newsletter subscription, counselling and orders

When contacting the operator for the first time (for example by email), the data of the users will be stored for the purpose of the processing of the request and in the case of follow-up questions.

If you want to receive the newsletter, we will require a valid email address from you as well as information, enabling us to verify that you are the owner of the specified email address or that the owner of the email address consents to the receipt of the newsletter. No further data will be collected in this case. The data is used solely for the forwarding of the newsletter and is not passed on to third parties.

When you subscribe to our newsletter, we will save your IP address and the date of your subscription. This data is saved solely as proof in the event that your email address is misused by a third party to subscribe to the newsletter without your consent.

You can withdraw your consent to the saving of the data, your email address and the use of your email address to receive our newsletter. To withdraw, you can either use the link provided in the newsletters or send an email to
bildungsberatung@bagkjs.de.

When registering for a guidance counselling appointment at our website or submitting an application for a sponsorship in accordance with the “RL-GF-H” regulations, we will also require the disclosure of some personal data from you; this includes the data which we also require in a personal guidance counselling appointment in order to determine whether you are eligible for a guidance counselling at a guidance centre near you. For this, we collect data such as your name, address, email, date of birth, residence permit, educational background, information on the attendance of an integration course as well as your expectations regarding guidance counselling. Information marked with an asterisk (*) is mandatory for the submission of your request to the competent guidance centre. This information includes personal data of all kinds such as your country of origin and the date of your immigration to Germany, enabling us to establish at an early point whether you may qualify for acceptance to a “RL-GF-H” sponsorship programme. Guidance counselling can however also be provided without the granting of a sponsorship. If you do not want to disclose this data, you will not be able to register online.

In addition to the mandatory information, you also have the possibility to submit additional information on your educational background on the registration form. This information is however voluntary and will only enable our consultants* to prepare themselves better for the appointment with you.

If you want to order information material via the online order form, we will also request some personal data from you. In this case, however, we will only request data required for the processing of your order, i.e. your name, address, phone number (in case of queries) and email address.

The data entered when contacting us for the first time, subscribing online to our newsletter, registering for a guidance counselling appointment or ordering information material is used solely for the purpose of the provision of the respective services. Which data is collected can be seen in the input mask for registration.

Use and forwarding of personal data

We will use your data to provide the services selected by you or to enable a guidance counselling appointment in a centre near you.

The data collected within the scope of the order of information material, newsletter subscriptions as well as first contacts in general, are processed and stored at the Coordination Centre Bildungsberatung Garantiefonds Hochschule at the BAG KJS e.V. in Düsseldorf and the relevant webspace provider. This ensures that the information material is forwarded and first contacts are made by our staff *. When ordering information material, your name and postal address will be forwarded to the company responsible for dispatch (e.g. Deutsche Post or DHL).

The data collected in the guidance counselling registration forms are forwarded by the coordination centre to the competent guidance centre, whereby the data is transmitted in encrypted form. The data is forwarded exclusively to the guidance centre determined previously on the basis of the provided information on the applicant’s place of residence. Additional details on data which iscollected in connection with the registration for guidance counselling or an application for acceptance to a sponsorship programme in accordance with the regulations of the University Guarantee Fund are available in the declaration for consent required within the scope of the registration.

In all other cases, data will only be forwarded to third parties if this is mandatorily required by the law or a court decision or if a forwarding of the data is required for law enforcement.

Links to the websites of other operators

Our website contains links to the websites of other operators. We cannot control compliance with the data protection regulations by the other operators.

Integration of third-party services and contents

It may be the case that this website contains third-party contents such as YouTube videos, Google Maps directions, RSS feeds or images from external websites. This always assumes that the providers of such contents (hereinafter referred to as “third-party providers”) can identify the IP address of the user. Because without the IP address, they are not able to send the contents to the browser of the relevant user. The IP address is therefore required for the presentation of these contents. We strive to use only such contents, where the relevant provider uses the IP address only for the provision of the contents. However, we cannot control whether third-party providers save the IP address, for example for statistical purposes. We will inform the users accordingly, where we are aware of such procedures.

Cookies

Cookies are small files which enable us to save specific device-related data on the access device of the users (computer, smartphone, etc.). On the one hand, they serve to ensure the user-friendliness of websites for the users (e.g. saving of login data). On the other hand, they are designed to collect statistical data on the use of the website which can then be analysedfor the purpose of improving the website. The users are able to control the installation of cookies. Most browsers provide the option to limit or entirely prevent cookies to be installed. The users are, however, instructed that the use and in particular the user convenience of the website may be limited without Cookies.

Matomo

This website uses Matomo, an open source software for the statistical evaluation of user access. Piwik works with so-called “Cookies”, i.e. files which are saved on the computer of the users, enabling the use of the website by the users to be analysed. The information generated by the Cookies on the use of the website is saved on the server of the operator in Germany. Immediately after the processing and prior to the saving of the information, the IP address is anonymised. Users can prevent the installation of the Cookies by selecting the relevant setting in their browser software. The operator, however, informs the users that in this case it will not be possible to use all function of this website in full.

Withdrawal, changes, corrections and updates

Users have the right to request information on which personal data is stored on them. In addition, the users have the right to request the correction of in accurate data or the blocking and deletion of personal data, where there is no statutory obligation to retain such data.
